Senior Central Administration Manager

Description:

An exciting opportunity has arisen for a Senior Central Administration Manager working within the Commercial Property Management Administration team overseeing the general administration of a central administrative team.

Description (for more information please review the attached JD):-

The role includes:

  • To be the main point of contact for all tenants and contractors.
  • Raising tickets, jobs and POs for all commercial repairs which are instructed as well as overseeing the works to completion. 
  • Working alongside all PMs and various departments i.e. lettings, residential, service charge and legal.

 

Ticket/Job raising

  • Raising tickets when issues for property`s has been reported
  • Raising Job orders when works has been instructed by the property managers

 

Purchase Orders (PO’S)

  • Raising POs for all commercial repairs logged
  • Sending POs to all contractors on a daily basis
  • Amending any errors on PO’s
  • Obtaining quotes from contractors
  • Closing PO`s once the works has been completed.

 

Health and Safety

  • Overseeing the health and safety compliancy of commercial department
  • Instructing health and safety audits
  • Site visits to ensure health and safety remedial are completed (as requested)
  • Attend monthly meetings to ensure audits are taking place as planned
  • Sending compliancy statistics to the commercial team and assisting with the works required

 

Invoicing

  • Sending contractor invoices to the accounts department
  • Raising any queries/errors

  • Excellent communication skills, both written and verbal
  • IT/Computer literate  (Word and Excel)
  • Attention to detail and numerate
  • Reliable and punctual
